Ocean Freight Coordinator

Job description

Handle files A to Z from receipt of booking advice to final delivery, including billing for ocean import FCL & LCL shipments for cargo origination from Asia , Europe and other origin’s around the globe. The modes are LCL, FCL and Air Imports. 

 

Tasks include and not limited to (not in any chronological order)

· Maintain clear, precise, detailed, professional communication with all internal and external customers. Provide exceptional Customer service (written and verbal)

· Communicate with Customers on New Orders in a professional and concise manner.

· Communicate with the Internal and External Sales, Agent Offices, Origin and destination stations, CSR teams on New Orders and existing shipments.

· Strong data entry , Microsoft Suites namely Excel skills.

· Paperless environment using the excel reports to manage the Desktop

· Create manual files in FD as needed if non-EDI origins and upload all docs

· Maintain and update the Paperless dashboard

· Contact the SS Lines, Forwarders for arrival details.

· Issue Arrival Notice

· Track and trace all shipments daily.

· Upload and update the POD details on each file

· Arrival confirmation, Entry of all Events in FD

· Confirm credit status on customers prior to release of cargo.

· Review the SOP/ SPs in place per shipment

· Issue Delivery Order based on the Terms of Sale on a shipment, SOP and Credit standing.

· Follow all files from ISF to end door deliveries to file closing and until file audit.

· Invoice and close files

· Customer service A to Z

· Any other assigned tasks by the Manager.

· Work independently & multitask as needed.

· In Office Position- non-remote.

· Hours are M-F 8:30 – 5 PM, with 1-hour lunch. Over Time is based on business needs

 

Requirements

· Need minimum of 3 years import experience with an NVO/ freight forwarder, in a similar capacity role and handling files A to Z

· Strong in managing LCL, FCL Ocean shipments and have operational knowledge of handling AIR shipments.

· Proficient in all Microsoft Suites

· Good command of the English language

· Able to communicate professionally and efficiently.

· Be a Team player.

· Strong working knowledge of ocean carrier & utilization of carrier web sites.

· Able to work independently & multi task as needed.

· In Office Position- non remote.
