We're seeking a seasoned Executive Assistant with a strong background in administrative processes, Standard Operating Procedures, and training. This role entails a diverse range of responsibilities aimed at ensuring the smooth functioning of our office and supporting our team in the Non-Profit sector.
Responsibilities:
	- Assist in the management of the c-suites offices when needed, including answering phone calls, file maintenance and organization, preparing documents, composing routine correspondence and announcements, receiving visitors, faxing/receiving messages, and correspondence, and expediting mail handling.
 
	- Maintain daily work schedules, and acquire documents and information as needed by the executives.
 
	- Update and manage executives’ appointment calendar and Departmental task list.
 
	- Maintain filing system and further develop to make more efficient.
 
	- Coordinate and assist with the completion of special projects, including research, documentation, spreadsheet development and presentation design.
 
	- Assist with meeting preparation and implementation, including drafting, copying, and distributing meeting agendas, presentation materials, correspondence and minutes.
 
	- Assist with making course, event, and travel arrangements.
 
	- Maintain tickler files for corporate timetables, and provide back-up for the executive suite and for outgoing mail processing as needed
 
	- Other duties as assigned
 
Qualifications:
	- Proven track record as an administrative assistant or in office administration
 
	- Proficient in office management systems and procedures
 
	- Familiarity with office equipment such as printers and fax machines
 
	- Exceptional time management and prioritization skills
 
	- Strong attention to detail and adept at problem-solving
 
	- Robust organizational abilities with a talent for multitasking
 
	- Bachelor's degree; additional certifications as an Administrative Assistant or Secretary are advantageous
 
	- Proficiency in MS Office suite (particularly MS Excel and MS PowerPoint)
 
	- Outstanding written and verbal communication prowess
